FLORAL PULSE

Privacy policy & cookies

Last updated: 8 October 2026.

This notice covers floralpulse.com, the Floral Pulse Workroom at workroom.floralpulse.com and our connected-store integrations, including the Floral Pulse Shopify app. Floral Pulse is operated by The Funhouse Group in the United Kingdom. Contact [email protected] about privacy or your information.

Our role and your florist’s role

We use business account, subscription and support information to operate Floral Pulse. For customer and recipient information that a florist enters or imports into Workroom, the florist determines how that information is used and we process it on their behalf to provide the service. If you bought or received flowers, contact the florist first about your order or personal information; we can help the florist respond.

Workroom accounts and business records

We process account names, email addresses, business details, staff roles, login information and subscription records. Information entered by a business can include customer and recipient contact details, quotes, orders, payments and refunds, products, stock, suppliers and delivery records. Delivery records may include addresses, instructions, card messages, assigned staff, timestamps and photographs supplied by the florist or driver.

We use these records to provide the workroom, web-based EPOS, order preparation, stock management, delivery planning, customer updates and reporting features selected by the business. Account and contact information is needed to provide an account and respond to requests; without the necessary details some features cannot operate.

Shopify and other connected stores

When a merchant authorises a connection, we receive information from their store according to the access granted and the sync options they enable. This may include the shop domain and store details; product names, variants, images, SKUs, prices, stock and locations; customer and recipient names, email addresses, phone numbers and billing or shipping addresses; and order items, totals, payment status, cancellations, refunds, delivery instructions and card messages.

We use this information to import and update the merchant’s records, match linked products, reconcile stock and prices, and organise preparation and delivery. Where enabled, Floral Pulse sends product, stock, price and fulfilment updates back to the connected store. Authorisation tokens allow the connection to operate; you do not give Floral Pulse your Shopify password. The connector does not need customers’ full payment-card numbers or security codes.

The merchant controls which available sync features to enable and can revoke the app’s access in Shopify or remove the connection in Workroom. Revoking access stops future authorised API access, but does not itself erase orders and other records already imported into Workroom. Contact us about deletion of imported information or closure of a Workroom account.

Why we use information

For our own account and subscription administration, we use information to perform our contract with you. We use support and technical information for our legitimate interests in answering enquiries, maintaining the service and preventing misuse. We retain information where required by legal obligations, such as accounting requirements. Optional analytics uses your consent. Florists are responsible for the lawful basis for the customer information they instruct us to process.

Who receives information

Records are available to the business and its authorised users according to their access. Delivery details are made available to assigned drivers, and customer updates use the contact details recorded by the florist. Our hosting provider, 20i, and service providers involved in sending email and operating the service process information needed for those functions. Our team may access relevant information to provide support and maintain the service.

Stripe processes Floral Pulse subscription payments. Connected platforms such as Shopify or the merchant’s WooCommerce website receive the updates enabled by the merchant. When mapping or route features are used, destination addresses or coordinates may be sent to Google Maps. These services also have their own privacy notices. We may disclose information where legally required.

Shopify customer information is used to provide the merchant’s integration and related workroom functions, not to sell customer lists or target those customers with our advertising.

Storage and international services

Floral Pulse is hosted with 20i. Providers such as Stripe, Shopify and Google operate internationally and may process information outside the UK. The processing locations and applicable transfer arrangements depend on the service used. Contact us for information about the providers and transfer arrangements relevant to your account. See the privacy notices for Stripe, Shopify and Google.

Retention, disconnection and deletion

Retention depends on the purpose of the record: whether the account or enquiry is active, whether the florist still needs a record for fulfilment or customer service, and whether accounting, dispute or other legal requirements apply. Disconnecting a store or cancelling a subscription is separate from requesting deletion of its records.

To request access, correction, export or deletion, email [email protected] with your business and shop domain, or the florist and order reference concerned. Do not send passwords or access tokens. We may verify your identity and authority, and work with the florist to identify the records. Deletion requests are reviewed for information that must be retained; they are not a promise that all records disappear immediately on uninstall.

Your rights

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your personal information. You can object to processing based on legitimate interests. You can withdraw analytics consent using the settings below. For customer records held on a florist’s behalf, contact the florist or ask us to help route your request.

When you contact us

If you send the contact form, email or call, we receive the information you choose to provide, such as your name, contact details, shop name and enquiry. We use it to answer your question and discuss the service you requested. Avoid including customer order details, passwords or payment-card information in an initial enquiry.

Website operation

Your browser sends technical information, including your IP address and requested page, to the hosting service when it loads the website. Hosting systems may record this information to operate and protect the service. This is separate from optional Google Analytics.

Contact form protection

The contact form uses a temporary session cookie to prevent forged submissions and repeated sends. A short-lived request limit uses a hashed network-address bucket and stores attempt times for 15 minutes. Submitted enquiries are sent to our team by email; the form does not subscribe you to marketing emails.

We use Cloudflare Turnstile on the contact form to help detect automated spam. The security check processes technical browser and network information through Cloudflare, separately from optional analytics. Our verification request sends the security token, not your enquiry text or email address. See Cloudflare’s privacy policy. If the check cannot run, the contact form will ask you to try again.

Your browser preferences

The site stores your chosen light or dark appearance in your browser. It also stores your analytics choice for up to 180 days so that you do not have to answer on each page. You can clear browser storage or change the analytics choice using Cookie settings.

Optional Google Analytics

With your permission, we use Google Analytics to understand page visits and clicks on trial signup buttons. The Google tag is not loaded until you accept analytics. Rejecting analytics does not prevent you using the website or starting a trial. Advertising consent stays disabled.

When enabled, Google Analytics uses identifiers and cookies to measure usage and may process information outside the UK. Our page-view setup excludes query strings and fragments from the page address. We do not deliberately send names, email addresses or enquiry messages as analytics events. See Google’s privacy policy for its processing information.

Workroom sessions and preferences

Workroom uses session cookies to keep you signed in and protect forms, and browser storage for preferences such as appearance. The marketing-site analytics described above is separate from usage analytics settings within Workroom.

Questions and requests

Contact us to ask about information you have provided, request a correction or discuss deletion. Some information may need to be retained for providing the service or keeping required business records. If you are concerned about how your personal information is handled, you can also contact the Information Commissioner’s Office.
